The Problem

Compliance shouldn't live in a spreadsheet

Most facilities teams - and the contractors who look after their buildings - still manage statutory compliance with paper records, shared drives and memory. It's fragile, inefficient, and one missed fire alarm service or EICR away from a serious liability.

Without SafetyCert
  • Certificates scattered across email attachments and shared drives
  • Expiry dates tracked in spreadsheets - if tracked at all
  • No clear picture of compliance status across sites and buildings
  • Audits require manual searching through years of paperwork
  • Clients have no visibility - they rely entirely on you to remember
  • Maintenance visits and permits recorded inconsistently per engineer
  • PAT test results in proprietary formats with no central register
With SafetyCert
  • Every certificate stored in a structured, searchable cloud register
  • Automatic expiry tracking with dashboard alerts across all buildings
  • Real-time compliance status visible to engineers, admins and clients
  • Instant audit-ready reports with complete document history
  • Client portal gives end-customers live visibility of their compliance
  • Maintenance logs and permits to work recorded against the right system
  • PAT sessions with full asset registers tied to site and building hierarchy

How It Works

Set up in minutes. Useful from day one.

SafetyCert is designed to get you productive fast. No lengthy implementation project, no data migration headache - just a clean, logical structure that matches how facilities compliance actually works.

1

Build your site structure

Create your organisation with sites, buildings and managed systems. The hierarchy mirrors the real world - from an estate-level view down to individual distribution boards, fire panels, test points etc.

2

Add your compliance records

Upload existing certificates, run PAT sessions, log maintenance, issue permits to work and more. Everything is linked to the right building, building system and asset - automatically.

3

Monitor, report & stay ahead

Your compliance dashboard shows the live status of every site. See what's due, what's expired and what needs attention - before it becomes an issue. Generate reports in seconds.

Platform Features

Everything your compliance workflow needs,
nothing it doesn't

Site & Building Hierarchy

Organise your estate with a structured tree: organisation → site → building → system. Every compliance record is anchored to the right location, making audit trails immediate and audit reports effortless.

Live Compliance Dashboard

A real-time overview of compliance status across your entire estate. Colour-coded indicators show what's current, what's expiring soon and what needs urgent attention - at a glance, across every building.

PAT Testing Module

Run structured PAT sessions against building asset registers. Record pass/fail outcomes, attach certificates, lock completed sessions and generate printable reports. Full IET Code of Practice alignment.

Document Management

A virtual folder system mirrors your site and building hierarchy. Upload any compliance document - O&M manuals, risk assessments, drawings, insurance certificates - and retrieve them instantly when needed.

Multi-user & Role-based Access

Invite your engineers, office administrators and client contacts with appropriate permission levels. Service Providers can manage all client accounts from a single consolidated dashboard.

Audit Trail & Security

Every action - record creation, document upload, status change, user access - is logged with a timestamped audit entry. Data is encrypted at rest, multi-tenant isolated, and accessible only by authorised users.

Every Building System

One register for statutory building compliance

Track the certificates, inspections and service records that keep a building legal and safe - by site, building and system - with reminders before anything lapses.

Electrical Installations

Fixed wiring EICRs to BS 7671 with C1, C2, C3 and FI observation codes, distribution board circuit charts and re-inspection dates tracked for every installation.

Fire Alarm Systems

Fire alarm certificates, BS 5839-1 log book maintenance visits with a result for every device, and zone charts kept against each system.

PAT Testing

Portable appliance testing sessions with full asset registers for each building, aligned with the IET Code of Practice for In-service Inspection and Testing.

Gas, Heating & HVAC

Gas safety records and boiler, heating and air conditioning service certificates logged against the plant they cover, with maintenance history alongside.

Security Systems

Intruder and security system certificates, maintenance visits and zone charts - with security schedules never exposed through public QR dashboards.

EV Charging, Solar PV & More

EV charge points and solar PV arrays are built in, and you can add any other system - emergency lighting, water hygiene, lifts or fire doors - each with its own certificates and reminders.

Beyond Certificates

Control the work on site,
not just the paperwork

SafetyCert is more than a certificate register. Permits, maintenance visits, tamper protection and system information all sit against the same site, building and system records - so the day-to-day work and the compliance record are one and the same.

Permit to Work

Issue permits against a specific system. While a permit is open the system is locked into maintenance mode, and permits left open past their expiry are closed off automatically - so nothing stays live by accident.

Maintenance Log

Record every maintenance visit against the system it covers - entered in the office, raised from a permit, or logged by a contractor from the system's QR dashboard. Fire alarm visits follow the BS 5839-1 log book with a result for every device, plus attachments, record locking and follow-up reminders.

Tamper Tag Protection

Register the tamper tags fitted to your equipment, approve removals and report missing or broken tags. Scheduled tag inspections, replacement reminders, instant alerts and a morning digest keep every tag accounted for.

QR System Dashboards

Print a QR label for any system. Scanning it opens a dashboard with code-protected emergency information, key contacts and the documents you choose to share - and visiting contractors can log an inspection without an account. Every access is logged.

Circuit, Zone & Distribution Charts

Produce BS 7671 circuit charts for distribution boards, fire alarm and security zone charts, and distribution diagrams. Each one is kept against its system and can be downloaded as a PDF whenever it's needed on site.

Compliance Calendars & Reminders

See every expiry, reminder and open issue on a calendar for your whole organisation or a single site. Set your own reminders at site, building or system level, and certificate expiry emails go out automatically before anything lapses.

Automatic Compliance Issues

Expired or failed certificates, tamper tag problems, failed or overdue PAT tests, maintenance follow-ups and overdue reminders are raised automatically on your dashboard - nothing waits for someone to notice it.

Every Building System

Distribution boards, fire alarm, security, gas, HVAC, EV charging and solar PV - plus any other system you need to track. Each has its own certificates, documents, reminders and maintenance history.

Audit Reports & Secure Backups

Generate audit report PDFs on demand. Files and sensitive data are encrypted before they're stored, with nightly backups to a separate locked store kept for 90 days.

Common questions answered

Everything you need to know before getting started.

What is building compliance management software?
It is a single system for the records that prove your buildings are safe and legal: certificates, inspections, test results, maintenance visits and permits to work. Instead of spreadsheets and shared drives, SafetyCert keeps each record against the site, building and system it belongs to, tracks expiry and re-inspection dates, and raises compliance issues automatically when something is expired, failed or overdue.
Which building systems can SafetyCert track?
System types include distribution boards and fixed wiring, fire alarm, security, gas, HVAC, EV charging and solar PV, and you can add any other system you need - such as emergency lighting, water hygiene, lifts or fire doors. Each system has its own certificates, documents, reminders and maintenance history.
What types of organisation is SafetyCert designed for?
SafetyCert is building compliance management software for the facilities management and building services sector. It serves two types of user: organisations managing their own buildings - such as healthcare facilities, universities, commercial property managers and industrial sites - and MEP contractors and compliance managers, who become Service Providers and manage SafetyCert on behalf of their clients.
Do I need to be an electrical engineer to use SafetyCert?
No. SafetyCert is designed to be used by office administrators, facilities managers and compliance officers as well as engineers. The technical details - such as PAT test results and circuit charts - are structured for engineers, but the compliance overview, document management and reporting tools are fully accessible to non-technical users. Role-based access means each user sees what's relevant to their role.
What compliance standards does SafetyCert cover?
SafetyCert is built around the key UK building services standards: PAT testing is aligned with the IET Code of Practice for In-service Inspection and Testing of Electrical Equipment; circuit charts follow BS 7671; and fire alarm inspections in the Maintenance Log follow the BS 5839-1 log book. Certificates from any discipline - EICRs, fire alarm, emergency lighting, gas and more - can be stored with their expiry dates and outcomes. The platform is built around how qualified engineers and compliance managers actually work in the UK.
Can we migrate our existing certificates and records into SafetyCert?
Yes. SafetyCert supports document upload for existing certificates - PDFs, scanned documents and other files can be stored against the correct building, system or asset record. While there is no bulk automated import tool for legacy data at this stage, you can upload existing records progressively as you work through buildings and assets. We can discuss data migration options as part of your onboarding.
How secure is my compliance data?
Sensitive data and uploaded files are encrypted at rest using AES-256 encryption. SafetyCert is a multi-tenant platform with strict tenant isolation - your data is only accessible to users within your organisation (and any Service Provider you have granted access). Changes to your records are logged in a full audit trail, every visit to a public system dashboard is recorded, and user sign-ins are recorded by Construct Software ID. Files are hosted within the EU, and the platform complies with UK GDPR and all other applicable data protection legislation.
Does SafetyCert work with InterimReport?
Yes. When your organisation holds both licences, you can connect the two from Settings at no extra cost. Locked InterimReport inspections are filed against the right building in SafetyCert, with a PDF copy in the building documents; failed items can raise compliance issues, with email alerts for P1 defects; corrective actions and next inspection dates show in SafetyCert; and your certificate dates show in InterimReport for the inspector on site. You choose exactly which features are on, and can pause or disconnect at any time. Service Providers can file the inspections they carry out into each customer's account, and each customer decides what their provider may do.
Is there a minimum contract term?
SafetyCert licences are billed annually. There is no multi-year minimum term. You can start with the base licence and add modules, storage or additional sites as your needs grow. For Service Providers, customer packs can be added at any point during the billing cycle.
What support is available after we go live?
All SafetyCert licences include access to our Help Centre and email support. Onboarding assistance is included for new accounts - we can help you set up your site structure, configure buildings and get your first records in place. Service Providers also receive additional setup support to help onboard their first client accounts.
